First the right questions.
Then the quote.
Gaia AI, Theia's AI requirements engineer, interviews your team about your software project — structured, in your own words, whenever it suits you. The result is a specification we can quote against seriously.
Software projects rarely fail at the code.
They fail at requirements that were never written down. The expensive surprises are the questions nobody asked before the project started.
Knowledge stays in heads
The dispatcher knows the material list, accounting knows the billing quirks — but none of it is in the briefing. The project inherits the gaps.
Edge cases surface too late
Weekend on-call duty, offline situations, the grown Excel list: special cases surface during operations — as change requests instead of requirements.
Quotes on shaky ground
A quote is only as reliable as the requirements behind it. Vague briefings turn into follow-up costs and discussions on both sides.
From idea to specification — in four steps.
Internally we call the tool “Grillme” — because it grills your project in the best possible sense.
Briefing
You describe your project in a few sentences — right here on this page or in an intro call. You then receive a personal link to the interview by email.
Interview
Gaia AI asks the questions that otherwise surface mid-project — across 12 topics, from goals to go-live. You answer whenever it suits you; everything is saved automatically.
Specification
When you finish, a structured specification is generated from the conversation — goals with baselines, roles, must-haves, integrations, open questions — and sent to Theia.
Review & quote
We review the specification with you, resolve the open points — and quote on a solid basis instead of a guess.
This is what being grilled looks like.
An example session, unedited: a building-services SME with 12 field technicians wants to digitise scheduling and job reports. Click any screenshot to read the conversation.
What Gaia AI caught in this session:
- The material list exists twice — 800 Excel line items, half of them differing from bexio in names and prices. Cleaning it up became its own work package.
- “Faster billing” became a measurable target: invoices out by the 3rd of the following month, and the 10–15 late job reports per month down to zero.
- Budget and deadline were pinned down: which module must be live before October, and whether CHF 30,000 includes running costs — asked, not assumed.
A specification, not a chat log.
When the interview is completed, the conversation is condensed into a structured specification and sent to Theia. It contains:
- Goal and summary of the project
- Measurable success criteria — with today's baseline
- Target users and stakeholders with their roles
- Must-have and nice-to-have features, prioritised
- Constraints: budget, timeline, tech stack, integrations
- Open questions — clearly flagged instead of silently assumed
The open questions are often the most valuable part: they are exactly the points that would otherwise become change requests.
