    THE SHORT ANSWER

What does a CRM project cost in Switzerland?

A CRM project has one-time costs for planning, implementation, data migration and training, plus ongoing costs for licences and support. For Switzerland, Microsoft lists CHF 52.60 (Professional), CHF 85.00 (Enterprise) and CHF 121.50 (Premium) per user and month for Dynamics 365 Sales, billed annually and excluding VAT. Ten Enterprise users come to CHF 850 per month or CHF 10,200 per year — for licences only. For implementations in its Full Implementation model (discovery to hypercare), Theia gives CHF 80,000–150,000 as orientation for a small CRM project; we quote a smaller sales start individually.

    CRM SYSTEMS AT A GLANCE

The cost blocks apply to every CRM.

Planning, implementation, data migration, training and support arise with every system. We calculate licence prices and scenarios with Dynamics 365 Sales because we implement Dynamics; we compare Salesforce separately. Other vendors' licences differ in unit, currency and scope, so we do not calculate them here.

    SIX COST BLOCKS

Separate the blocks before you compare prices.

Offers bundle these blocks differently. Four are one-time project costs; licences and support keep running after go-live.

    THREE SCENARIOS

What is included, what drives the cost?

The scenarios describe typical starting points. They are neither packages nor budgets of past customer projects.

    Scenario 1

    Focused sales start

A sales team starts with Dynamics 365 Sales and largely standard processes.

    Scope

    • Accounts, contacts, leads and opportunities in Dynamics 365 Sales
    • One sales process with a pipeline view and standard dashboards
    • Outlook integration, roles and permissions
    • Import of a contact list, e.g. from Excel, and a short onboarding

    Assumptions

    • 5–10 users, one company, one language
    • No integration with ERP or website

    Cost drivers

    • Additional process variants, fields and reports
    • Volume and quality of the contact data
    • Edition: Professional is cheaper but offers limited customisation

    Available price orientation

    Planning
    Optional Discovery CHF 9,500–14,500, credited
    Implementation
Quoted individually — no published flat rate
    Licences (example)
    5 × Professional: CHF 263.00 per month
    Support
    As agreed

    Scenario 2

    CRM rollout with data migration

An existing CRM, Excel lists or a legacy solution is replaced.

    Scope

    • Process discovery and solution design as the contractual basis
    • Configure sales and account management, roles and permissions
    • Data migration with cleansing, mapping and test runs
    • System and acceptance testing, go-live, train-the-trainer, hypercare

    Assumptions

    • 10–25 users, one or a few teams
    • One source system plus Excel lists; at most simple integrations such as web forms

    Cost drivers

    • Data quality, data volume and number of source systems
    • Historical activities and documents that need to move
    • Availability of your key users for testing

    Available price orientation

    Planning
Discovery as phase 1 or credited
    Implementation
In the Full Implementation model: small CRM project CHF 80,000–150,000
    Licences (example)
    10 × Enterprise: CHF 850.00 per month
    Support
4–12 weeks of hypercare included, optional afterwards

    Scenario 3

Comprehensive rollout with ERP integration or customer portal

Sales, service and adjacent systems are connected.

    Scope

    • Everything from scenario 2
    • Integration with the ERP, e.g. Business Central or bexio
    • Customer portal with Power Pages or customer service with Dynamics 365 Customer Service
    • Several teams, locations or companies; operations documentation

    Assumptions

    • 25 users or more, several user groups
    • At least one two-way integration; external portal users

    Cost drivers

    • Number and direction of integrations, leading system per record
    • Portal: number of external users, sign-in, security requirements
    • Companies, languages, currencies, compliance and testing effort

    Available price orientation

    Planning
Discovery as phase 1 or credited
    Implementation
In the Full Implementation model: standard transformation CHF 150,000–350,000, multi-entity from CHF 350,000
    Licences (example)
25 × Enterprise: CHF 2,125.00 per month — plus Customer Service, Power Pages or ERP separately
    Support
Optional Managed & Evolve, Standard CHF 6,000–12,000 per month

The Full Implementation values apply to the scope described on that page: five phases from discovery to hypercare, a solution blueprint as contract annex, train-the-trainer and a fixed price per phase. Licences are not mentioned there and are shown separately here. Projects outside that scope receive an individual quote.

    EIGHT QUESTIONS BEFORE YOU SIGN

How do you compare two CRM offers fairly?

Ask every provider to answer these points in writing. Then compare the same scope, the same licence assumptions and the same VAT basis.

    1. Scope

Which processes, roles, reports and integrations are included — and what is explicitly excluded?

    2. Data migration

Which data from which sources, how many test runs, and who cleans the data?

    3. Licences

Which edition for which role? Are licences included in the quote or separate, monthly or annual?

    4. Training

Who is trained, in which format, and which materials stay with you?

    5. After go-live

How long does the provider support the launch? What does operation cost afterwards, with which response times?

    6. Pricing model and changes

Fixed price or time and materials? How are changes quoted? Are there phases with an exit option?

    7. VAT and extras

Are prices excl. or incl. VAT? Are expenses, travel time and third-party licences included?

    8. Your own effort

How many days do you need from key users and IT — for workshops, tests and data cleansing?

    COMMON QUESTIONS

    Common questions about CRM costs

For Switzerland, Microsoft lists CHF 52.60 for Sales Professional, CHF 85.00 for Sales Enterprise and CHF 121.50 for Sales Premium per user and month, billed annually and excluding VAT (checked on 9 October 2026). The actual price can differ by contract and purchasing channel. Further apps such as Customer Service, additional Copilot credits or Power Platform licences may be added depending on the solution.

With Sales Enterprise, licences alone cost 10 × CHF 85.00 × 12 = CHF 10,200 per year, i.e. CHF 850 per month, excluding VAT. With Professional it is CHF 6,312, with Premium CHF 14,580 per year. Planning, implementation, data migration, training and support are not included.

It depends on the scope. For projects in Theia's Full Implementation model — five phases from discovery to hypercare, a fixed price per phase — Theia gives orientation values of CHF 80,000–150,000 for a small CRM project, CHF 150,000–350,000 for a standard transformation and from CHF 350,000 for multi-entity projects. These are orientation values for that scope, not budgets of past customer projects. We quote a smaller sales start individually.

Theia's Discovery sprint costs CHF 9,500–14,500 depending on scope and is fixed at kick-off. If you then implement with Theia, the Discovery fee is credited against the implementation. Do not add it on top of an implementation budget in a total calculation. The Discovery page does not state the VAT basis; confirm it in the quote.

According to Microsoft, Professional covers core sales force automation but offers only limited customisation and no Copilot capabilities in Sales. Enterprise adds full customisation, custom apps, forecasting and Copilot in Sales and Outlook. Premium also includes sales insights, AI-driven recommendations and 1,000 Copilot credits per user and month. Choose the edition by the capabilities you need, not by price alone.

Licences and support are ongoing. In the Full Implementation model Theia stays close for 4–12 weeks after go-live (hypercare). Afterwards your IT can take over, or you choose Managed & Evolve: Essentials from CHF 4,000 per month, Standard CHF 6,000–12,000 per month, Enterprise from CHF 15,000 per month, each with a 12-month term. The VAT basis is not stated there; confirm it in the quote.

It depends on the edition. Salesforce Starter Suite (USD 25) is below Sales Professional (CHF 52.60). For the comparable core CRM, Salesforce lists USD 195 per user and month for Core and Microsoft CHF 85.00 for Sales Enterprise; Core includes Premier Success and Slack in return. Salesforce publishes no CHF prices and we do not convert currencies. Theia is a Microsoft partner; we compare the editions in detail on the Dynamics 365 vs. Salesforce page.

In the free 30-minute intro call we clarify goals, users, data sources and integrations. We then propose the right entry point: an individual quote for a focused start, or a Discovery sprint that produces a fixed-price estimate for the next phase.
