Sending as Cycleweek while remaining reachable through BikeDays

Theia supported a change of email senders in Microsoft 365, retaining existing receiving addresses and sign-in names.

A new email identity affects more than the sender shown on a message. For BikeDays.ch / Cycleweek, Theia supported the switch of the agreed mailboxes to @cycleweek.ch in September 2026. The existing BikeDays addresses were retained for receiving email. Sign-in for existing users was also considered separately.

    Challenge

Cycleweek needed to appear as the sender in everyday email communication. At the same time, the existing @bikedays.ch addresses were still familiar and needed to continue accepting incoming messages. Both requirements had to be considered during the change.

There was also a practical question: does changing an email address also change the name employees use to sign in? The customer specifically asked about this after the change. Explaining the different addresses was therefore also part of the support.

    Solution

Theia changed the default sender addresses of the agreed mailboxes to @cycleweek.ch. The existing @bikedays.ch addresses were retained as additional receiving addresses. Outgoing mail therefore used the new identity, while the previous contact addresses remained configured.

Theia left the existing users' sign-in names unchanged. In the subsequent correspondence, the customer was informed that the new default sender address did not mean a change to the existing sign-in name.

The scope of this step was clearly defined: info mailboxes were excluded from the change. The work was carried out as part of ongoing Microsoft 365 support and coordinated with the customer.
