    Challenge

ERP-CRM gap & finance data silo

One end-to-end Microsoft platform — from lead to invoice

CRM and ERP live in separate worlds. Master data, orders and invoices are reconciled by hand — with delays, errors and duplicate maintenance.

    Sound familiar?

Typical situations where this challenge surfaces

If one of these cases sounds familiar, it usually pays to take a closer look at process, data and ownership.

Sales without invoice or payment visibility

Sales sees orders and pipeline in CRM but not whether invoices are issued or paid. Cross-sell conversations stall because open items aren't visible. Finance becomes a permanent help desk.

Duplicate master data CRM ↔ ERP

A new customer is created in CRM and then re-keyed into the ERP — or the other way around. Address changes, tax IDs and bank details drift apart. Which system holds the truth shifts case by case.

    Growth meets manual interfaces

What worked at 50 orders a month breaks at 500. Manual handovers consume time, error rates rise, Swiss VAT and accounting requirements become a burden. The company outgrows its Excel bridge.

    Diagnosis

    What's really behind it

CRM and ERP live in separate worlds. Master data, orders and invoices are reconciled by hand — with delays, errors and duplicate maintenance.

    Signal 1

Accounts, contacts and products are maintained twice — once in CRM, once in ERP

    Signal 2

Quotes live in CRM, orders in ERP — sales and finance lose status visibility between systems

    Signal 3

Invoice and payment status is invisible in CRM — sales pings finance every day for updates

    Signal 4

CSV exports and manual postings drift apart and create reconciliation pain at month-end

    Signal 5

End-to-end reporting (lead → opportunity → order → invoice → payment) only works through manual Excel consolidation

    Target picture

    What we change together

We connect Dynamics 365 CE with Business Central or Finance & Operations into one Microsoft platform — shared data, shared identity, one lifecycle. ERP delivery happens with our ERP alliance partners; the integration architecture comes from us.

Native CRM ↔ ERP integration with Dataverse as the shared data foundation

Dual-Write between Dynamics 365 CE and Finance & Operations (accounts, contacts, products, orders)

Business Central ↔ Dataverse sync with the standard connector — no custom pipelines

Microsoft Entra ID as the shared identity — one login, one permission model

    Outcome

What gets noticeably better for your team

No technology for technology's sake — the value has to be visible in daily work.

One end-to-end Microsoft platform instead of CRM and ERP islands

Master data is maintained once and synced on both sides

Sales sees invoice and payment status directly inside CRM

End-to-end reporting from lead to payment without an Excel bridge

One licensing contract, one identity, one lifecycle — and named alliance partners for the ERP side

    Starting point

    How we start without overloading

Depending on maturity, we start small, validate the value and then expand in a controlled way.

    1
    Phase 1

    Integration assessment

We map CRM and ERP master data, business objects and process boundaries. Identify the real sync needs — not everything must live everywhere. Clarify which side is the system of record for each object.

    2
    Phase 2

    Architecture and partner setup

Select Business Central or F&O together with the ERP alliance partner. Define the integration topology (Dual-Write, standard connector, custom connector). Swiss requirements (languages, VAT, localisation) are addressed up front.

    3
    Phase 3

    CRM ↔ ERP bridge

Theia configures the CRM side and the integration pipeline. Accounts, contacts and products flow automatically. Quote-to-order runs end-to-end; invoice and payment status appears inside CRM.

    4
    Phase 4

    End-to-end reporting

Power BI joins CRM and ERP data in shared dashboards. Sales, finance and leadership see the same numbers — from lead through order to payment. Manual Excel consolidation goes away.

    5
    Phase 5

    Run and continuous expansion

Theia runs and evolves the CRM and integration layer; the ERP alliance partner owns the ERP side. You get one architecture contract with clear interfaces — and one end-to-end Microsoft platform from a single source.
